1. Manual product creation

Go to app.sellon.ch and log in with your username and password.

Then navigate to Product > Product Details.

The UI has an upper section with hints and additional info in red and yellow boxes, and a lower section with fields displaying the same hints beneath each corresponding input. As fields are filled out correctly, the corresponding hints disappear.

The lower section has five tabs: Master data, Supplementary data, Price & Stock, Media and Galaxus.

The minimum data required to save a product in the system is the Provider key; however, for effective selling and marketing, more complete product data is essential. To publish a product, existing products on Galaxus require only a Provider key, price, vat rate, stock, and GTIN (EAN), while new products additionally need brand, title, category, and a valid image URL.

Note that each image must be assigned a new, unique URL when updated, because the marketplace only detects changes via the image URL and will not recognize updated images if the same URL is reused.

After selecting a category from the Category dropdown, a new tab labeled Specific properties will appear after Price & Stock. These properties represent category-specific product specifications. Changing the category will update the set of available properties.

After completing as many data fields as possible, check Active in the Master data tab on the far right, as only activated products with complete data can be exported to the marketplace, and finally click Save.

Your newly created product can be found under Product > Product and edited at any time.

In the product overview, the system automatically assigns a State (Error, Stage 1, or Stage 2) to indicate data completeness and highlight products that need improvement. A product can be saved with only a Provider key (State: Error), reaches Stage 1 when GTIN, Provider key, Sales price, vat rate, and Stock quantity are provided, and reaches Stage 2 when Category, Title, Brand, and Image URL are also completed.

Note that only active products in Stage 1 or Stage 2 can be exported to the marketplace.

2. Sorting, filtering, mass edit

In the product overview, products can be sorted and filtered by the values in different columns.

Sorting:

  • Click on a column name to sort the products.

  • Numeric columns (e.g., Price) are initially sorted from lowest to highest. Clicking again sorts from highest to lowest.

  • Text columns are sorted alphabetically.

Filtering:

  • Columns with enumerated values (e.g., Status) have a dropdown menu below the column name. Select, for example, “Stage 1” to display only items with that status.

  • In numeric columns, you can filter by values greater than (>) or less than (<), e.g., “Price < 2000”.

  • Using wildcard characters (*) allows you to search text columns more precisely, for example in the Title column:

    • t* → Items whose titles begin with “t”/”T”

    • *t* → Items that contain a “t” anywhere in the title

    • *t → Items whose titles end with “t”

It is possible to edit the brand and status of multiple items at the same time. To do this, select the products and click the Mass Edit button. A pop-up window will open where you can define the attributes that should be updated. Click Apply to update the values.

3. Product import

To import products, use the Import ribbon button above your product list.

The import only processes items with provider keys and GTINs that don’t yet exist in your product list. Once they are imported, you can adjust their attributes and specifications in the system. An exception is the product stock and price import.

Select an XLS or CSV file and click Start import.

Your product data will be processed and a list of messages will be shown below to give you an overview of possible data issues or successful imports:

You can filter messages by success, info, warning, or error and export if needed. Click the three-dot menu at the top right of the grid to export.

A pop-up window appears where you click the left arrow, select the format, records, and (if needed) the CSV delimiter, then click Export.

After importing products from an Excel/CSV file, they will appear in Product > Product.
You can edit any imported product later by double-clicking it and updating the required fields.

A product with stock quantity set to 0 may still be published if either a Restock time or a Restock date is provided (only one can be defined at a time).

If the Stock quantity is 0 and no restock information is provided, the product will not be published on the marketplace.

When importing date values, for example for the Restock Date field, the following formats are supported:

When importing the value indicating whether direct delivery is supported (directDeliverySupported), the following values are accepted:

Positive (yes/true): t, true, yes, ja, 1

Negative (no/false): f, false, no, nein

If the value is 0 or missing, the field will simply not be set.

Release country, country of origin, and warehouse country: Only 2-letter country codes are accepted. Using a full country name or an invalid value will cause the product import to fail.

4. Product stock and price import

This import updates the products' prices and stock information. In this case, use the Import stock ribbon button to open the import dialog.

This import only updates the stock- and price-related properties of products that have been either imported before or added manually. Other product attributes are not updated.

The process mirrors the standard product import: after clicking Import Stock, a new window opens where you upload a CSV or Excel file with updated price or stock data and click Upload.

The import overview lists data errors and successful operations.

It is possible to set up a connection via SFTP so that data is automatically retrieved from a defined folder.

For the transfer of price or stock data, the file name must contain “stock”, “price”, or “preis”; otherwise, a regular product import will be performed.

If you are interested in setting up such a connection, please contact the administrator.

5. Product export

Navigate to Product > Product and click Export in the ribbon to immediately transfer the product data to the marketplace. Please note that only products with Stage 1 or Stage 2 status and that are active will be exported.

The system automatically sends exports to the marketplace at a defined time interval (e.g., every two hours). The interval can be set within the designated range. For specific or different intervals, coordination with the administrator is required.

In the product overview, the Export status column indicates whether a product has been updated since the last export. If changes have been made but not yet published, an orange circle with an exclamation mark is displayed. If the product was exported after the latest changes, the status appears as a green circle with a checkmark.

6. Order management

Navigate to Orders > Orders to view an overview of all orders received via the marketplace. There you will find information such as order status, modification date, order number, total number of items, and total price.

The most recently received order is displayed at the top and has the status New.

A new order that has been in the system for more than two hours and has not yet been processed is highlighted in orange.

By clicking Export, orders can be exported as an Excel file. If one or more orders are selected, only those will be exported. Otherwise, all orders will be exported.

By double-clicking an order, additional details are displayed, and new configuration options become available in the view.

When logged in as a supplier, five tabs are displayed: Order, Order items, Order parties, Shipping, and Invoicing. As a marketplace merchant, four tabs are visible—the same ones, but without Invoicing.

The first tab displays the order details transmitted by the marketplace, which cannot be edited. For each order, a SellOn order number is automatically generated. It serves as an internal system reference, for example, for invoices and deliveries.

In the second tab, you can confirm or reject items. To do this, click the corresponding button (Confirm position or Reject position) and then click Save. This sends the information to the marketplace, and the status will change to Confirmed or Canceled accordingly.

After confirming and saving, an item can still be rejected. After rejecting and saving, the status can no longer be changed.

An order can also be partially accepted. To do this, enter a smaller quantity to be delivered and click Confirm position. The order will then be split and displayed as two items, with the delivery quantity and delivery date adjustable. Then don’t forget to click Save.

Example: If 20 items are ordered but only 15 are currently available, you confirm 15 for the current delivery date and the remaining 5 for delivery in one week.

Of course, an item can also be partially or fully rejected.

It may happen that the buyer submits a cancellation request. This is displayed in a separate tab, which only appears if a cancellation exists. The request must be accepted or rejected before other items can be processed. When rejecting, a message to the customer with a reason is required. Clicking Save sends the data to the marketplace.

In the case of a return, a separate tab also appears where returns can be confirmed or rejected. In the event of a rejection, a brief explanation must be written for the customer, which is transmitted to the marketplace when saved.

In the case of a return that the customer sends directly back to the seller without registering it through the marketplace, the seller can also transmit it to the marketplace using the “Register Return” button.

In the Order parties tab, the addresses and contacts transmitted by the marketplace with the order are displayed. This information cannot be edited.

In the Shipping tab, shipments are recorded. By clicking Create New Shipment, a pop-up opens where a delivery can be created.

To create a shipment, select the Carrier, Parcel type, Shipment number, and Delivery note number. You can also create partial shipments by selecting the quantity of items to ship and clicking Split. Check the box for the corresponding item(s), and click on Add Shipment. Saving will transmit the data to the marketplace.

In the Invoicing tab, suppliers can create invoices. To do this, click on Create new invoice, which will open a pop-up window.

Here you enter the Invoice number and Invoice date, check the box to the left of the relevant item, and, if needed, click the green plus at the bottom to add additional services such as express shipping or insurance. Then click Add Invoice – the window will close. Don’t forget to Save so that the data is transmitted to the marketplace.

7. Email notifications

When a new order, cancellation, or return is received in the system, an email notification is sent automatically. By clicking Check order in SellOn, you are taken directly to the corresponding order in the system, where you can process it.

8. Dashboard

The dashboard provides an overview of all relevant products and processes in SellOn and is divided into seven sections: Products, Orders, Delivery Rate, Cancel Rate, Import, Export Galaxus, and Scheduler.

In the Products section, the total number of products is displayed, as well as the number of complete, incomplete, and invalid products, corresponding to the statuses Stage 2, Stage 1, and Error.

The Orders section shows the total number of orders, as well as the number of newly received orders.

Delivery Rate and Cancel Rate are KPIs (key performance indicators) that reflect a merchant’s reliability on the marketplace. They provide structured feedback, help monitor performance, and ensure that marketplace standards are consistently maintained.

In the Import section, the most recent product imports (Import) and stock updates (UpdateStock) are displayed.

The Export Galaxus section shows the latest exports sent to the marketplace.

The Scheduler indicates when the next exports to the marketplace are planned.
